You may use the workflow of industry standards for the best optimized access to all company
documents in the system. At the same time, the filter simplifies the search process. You can simultaneously select documents for strictly defined groups and types. The “Accounts” tab – here users may find the lists of companies within the holding, which documents are available for them. You may search the document using a whole set of parameters, for example, a particular phase of execution, user, who is responsible for a particular phase, brief content, document (process) number or any meta-data contained in the extended card.
In the “Progress” tab of the process card you may explore all the steps and progress of all
participants. Explore coordination, registration, execution or any other steps according to BPM
settings. Furthermore, all the additional approvals, assignments, the completion date of the current phase and the user responsible for its implementation are displayed. During the execution process there are automatic phases and conditions for their execution. The information provided by the system will help to regulate and optimize the work of the employees. The System allows you to assign an individual assignment or group of assignments
to a specific user. So each user gets specific responsibilities and their description and progress will be displayed on the document card until this phase is completed.
The card contains all the necessary information about the running process. It includes such
1. Full description of the running process. Contains its number inside the system, creation date; registration number, and date of registration (in case of process/document registration was complete). The current step is also indicated on the card (creation, approval, signing, execution). Among other things you have access to the information about people who are working on a process or document, and what exactly they do.
2. Correspondence of directly involved/acquainted with the process users.
3. Attachments availability and user documents.
4. Progress within the running process.
AlmexECM provides a high level of information security by encrypting attachments and process/document cards. Also, some special users can work in the”Confidential Account” mode. These special users get access to company confidential documents on the basis of their privacy stamps (for example, the trade secret stamp, the documents of special importance, the secre stamp, the top secret stamp and others). Secrecy stamps let their owners to tune and adjust staff access to information is performed. All the actions with confidential documents are logged with special care. Nobody, even system administrator, can obtain access to such documents.
Search and filters
Due to a well-considered search system and convenient organization of registries and document archives, you get a useful interface for interacting with documents, applications, files
and business processes available as part of a role policy. Furthermore, preset filters simplify
searching information needed using available parameters. The search system works using
various parameters of the process card or document, including semantic search. The presence of spelling, grammatical errors or typos is not affected by the semantic search. You may search by not only a specific word, but also by larger language units such as sentences and phrases. In this case, the system selects constituent elements close in meaning and type to the search query. Moreover, the system allows you to frame complex search queries by various parameters, refining the samples of documents, processes and applications. This approach allows you to search in a quick and convenient way.
